A couple of weeks ago I wrote about why growth was supposed to make things easier (opens in new tab), and why for most owners it does the opposite. The business gets bigger and somehow it gets harder to run, not lighter.
The question I did not answer in that post is the one that actually matters. If your business has outgrown you, or is about to, which part of it broke down first. Because the fix is not the same for every owner, and working harder is not a fix at all. It just delays the moment you have to answer this properly.
Why This Happens
Every business owner I have worked with in 35 years hits a point where they become the bottleneck. Not because they are lazy or not trying hard enough, and not because they read the wrong book or picked the wrong strategy. Because they are short on one of two things: the skills and expertise to do what the business now needs, or the resources to actually put those skills to work.
Here is the thing most owners miss. It is rarely one or the other in isolation. It is where the two intersect that tells you what is actually going on, and what to do about it.
There is a version of this that looks like burnout even though the owner is highly capable, because the resources around them are thin. There is a version that looks like a resourcing problem even though the real gap is expertise. And there is a version where the business has plenty of both and is simply not putting them together in a way that compounds.
None of that is a character flaw. It is a diagnosis. And once you can see which one you are dealing with, the fix stops being a mystery.
If you want to map your own business against this as you read, the Momentum Starter Pack (opens in new tab) includes a one page version of this worksheet.
Where Is Your Business Actually Stuck
Stuck Bottleneck.
Limited skills and limited resources, both at once. Everything runs through you because there is genuinely no one and nothing else to run it through. This is the hardest quadrant to be in and the most common one for owners under five years in.
Structural Burnout.
You or your team have the capability, but the resources around you, time, budget, systems, tools, cannot keep pace with what you are capable of. This is the owner doing the job of three people well and still falling behind, because capability was never the constraint. It is also where the trapped feeling I wrote about a few weeks earlier (opens in new tab) usually starts.
Inefficient Team.
Resources are there, sometimes in abundance, but the expertise to use them properly is not. Money gets spent, people get hired, and the needle barely moves, because the strategy behind the spend is missing.
Scalable Growth.
Both capability and resources are in place. This is the only quadrant where growth compounds instead of costing you more of yourself every month.
Most owners assume they need to work their way out of wherever they are through sheer effort. What actually moves a business from one quadrant to Scalable Growth is closing the specific gap that quadrant represents, deliberately, one part at a time. That is a different exercise to working harder. It is the difference between knowing what needs to change and actually putting it in place, week on week, until it sticks.

Where To From Here
I said two weeks ago that growth does not automatically make a business easier to run. Now you know why, and which of the four boxes you are actually sitting in. I have spent 35 years watching owners diagnose themselves as understaffed, or just unlucky, when the real answer was one of these four the whole time. Once you know which one you are in, the next twelve months look completely different to the last twelve.
If you saw yourself in one of those four boxes, you are not the only one, and you are not behind. Every owner I sit down with fits somewhere on that list. There is no shame in any of them, only a next step.
If you would like a second set of eyes on where your business actually sits, book a call (opens in new tab). No pitch. Just a conversation about which box you are in and what actually moves you out of it.
